How much does time and attendance software cost per employee?
Ours is £2 per employee per month excluding VAT, or £3 with the mobile app. Across the UK market you will see anything from about £1 to £8 per employee per month, and the spread usually comes down to whether hardware, support, setup and modules are included or charged separately. When comparing, work out the twelve month cost including any terminals rather than the headline monthly figure, because that is where the differences show up.
Is there a minimum contract?
Yes, and we would rather say so on the pricing page than in the small print. There is a three month minimum term and 90 days’ notice to cancel. Annual billing is standard and monthly is available. If you want to try it first, the free trial has no commitment at all and does not need a card.
What is not included in the price?
Hardware is separate and one off, from £395. Visitor management is £495 a year and fire roll call £395 a year, both flat rather than per employee. Access control is quoted per site because it depends on doors and existing hardware. Everything else, including support and updates, is in the monthly figure. There is no setup fee, no per site charge and no per device charge.
Does it cost more if we have several sites?
No. You pay per person, so four sites of twenty-five people costs the same as one site of a hundred. Per-location pricing is common in this market and it penalises exactly the businesses that most need multi-site visibility, so it is worth checking with anyone else you speak to.
What is the difference between the £2 and £3 plans?
£1, and that £1 buys the mobile app. The £2 plan is the complete web system, not a cut down version: shift patterns, overtime rules, absence management, reporting and payroll export are all in it. You need the app if people clock away from a terminal, or if you want staff requesting holiday and checking their own hours from their phone.
Do we have to buy the app for everybody?
No. The £1 is per app user rather than per employee, so a business with sixty warehouse staff at a terminal and eight drivers on the app pays £2 for sixty-eight people and £1 for eight. The calculator above handles that if you set the two numbers separately.
Is support charged separately?
No. Support and software updates are in the monthly price, and when you ring you get our team in Leeds rather than a ticket queue. Support tiers charged as a percentage of licence value are common in this market and worth asking about when you compare.
What happens if our headcount changes?
Tell us and the figure changes. Seasonal businesses taking on forty people for Christmas and letting them go in January should not be paying for forty all year, and we would rather adjust it than have you paying for people who left.
How much does the hardware cost?
Terminals run from £395 to £995 excluding VAT as a one off, depending on the credential and the model. How many you need depends on entrances and on how many people arrive at once rather than on headcount: a hundred staff trickling in over an hour is a different problem from a hundred arriving for a seven o’clock start. What does Realtime cost?
The prices on this page are for Syncro Connect, our cloud product. Realtime is a separate installed system, quoted per installation because it depends on headcount, modules and whether it runs on your server or our hosted platform. It is the one to ask about if you need job costing, HR and document management or direct Sage Payroll integration.
Is there a free plan?
No, though there is a free trial with no card required. Free clocking apps do exist and for a handful of people they can be perfectly adequate. What they generally do not include is UK support, hardware, payroll export or anywhere to go when something stops working the week before a pay run. We would rather explain what the £2 buys than pretend the free ones do not exist.
Why publish prices when most suppliers do not?
Because the first thing anybody wants to know is whether it is roughly the right money, and making somebody sit through a discovery call to find out wastes their afternoon and ours. If £2 per employee is not what you had in mind, you have lost two minutes rather than a week.
