Manufacturing buyer’s guide

Manufacturing time and attendance systems compared: an honest UK guide

Seven suppliers, including us, and where each one fits

The right time and attendance system for a factory depends on three things: how complex your shift patterns are, whether you need to cost labour against jobs, and how you want to pay for the software. This guide compares seven suppliers selling to UK factories and says plainly where another supplier offers something we do not.

If you want to know what our own system does on a factory floor, our time and attendance for manufacturing page covers it. This page is for choosing between suppliers. We have not linked to other suppliers, but everything we say about them comes from their own published information.

Before you compare

What a factory needs from a time and attendance system

Most time and attendance systems record clockings well. The differences show up in the awkward parts of factory work: night shifts, premiums, gloved hands and labour costing. These are the six questions worth asking every supplier, including us, and they are the same six the comparison below is built on.

  1. Shift rules that match how you actually work

Night shifts that cross midnight, continental patterns and rotating crews are where weaker systems fall over. A good system knows which shift a clocking belongs to, pays the hours against the right day, and applies premiums without anyone editing the timesheet.

Ask the supplier: can you run one of our real, awkward weeks through the system during the demo?

  2. Overtime, premiums and rounding

Factories often pay several overtime rates, weekend and bank holiday premiums, and shift allowances. The system should apply them from your own rules and let staff see how their hours were worked out. Be careful with rounding: rounding that routinely trims paid time can take someone below the National Minimum Wage.

Ask the supplier: where are rounding and grace periods set, and can we see them applied to a real clocking?

  3. Clocking hardware that suits the factory floor

Dust, gloves, cold stores and worn or dirty hands all affect how reliably people can clock. Proximity cards and face recognition usually cope better with manual work than fingerprint readers. If you choose biometrics, you are processing special category data under UK GDPR, and the ICO’s biometric guidance expects staff to be offered a genuine alternative, such as a card. In 2024 the ICO ordered one employer to stop using facial recognition and fingerprint scanning for attendance because less intrusive options were available. The guidance is under review following the Data (Use and Access) Act 2025, so check the current version before you commit.

Ask the supplier: which terminals would you put in our environment, and what do staff use if they decline biometrics?

  4. Labour costed against jobs

If you need to know what a job or works order actually cost in labour, you need job clocking, where staff clock on and off each job as well as in and out of work. It is a separate feature and not every system has it, so rule it in or out early.

Ask the supplier: can staff switch between jobs at the terminal, and how does labour cost per job reach our reports?

  5. The records you may be asked for

Time and attendance software does not make you compliant, but it gives you the records to show what happened. The ones factories are asked for most are hours against the 48 hour weekly limit, rest breaks between shifts, and who was on site during an evacuation. An evacuation list built from live clocking data helps with the fire safety responsibilities every employer has, although no system can account for someone who left without clocking out.

Ask the supplier: can we produce working time and evacuation reports ourselves, without asking you?

  6. How hours reach payroll

Every system says it works with payroll, so ask how. A direct integration writes hours straight into your payroll software. An export produces a file your payroll team imports. Both work, but they suit different teams, and neither runs your payroll for you unless the supplier also sells payroll.

Ask the supplier: is it a direct integration or an export for our payroll software, and who fixes it if the format changes?

The comparison

Manufacturing time and attendance systems compared side by side

This table sets our two systems against five other suppliers, using the questions above. Everything about other suppliers comes from their own websites. Where a supplier’s site does not say whether they offer something, the table says “Not stated”. That means they do not publish it, not that they lack it, so ask them directly.

All prices exclude VAT. On a small screen, scroll the table sideways to see every column.

Where each one fits

Which supplier suits which factory

The table shows what each supplier offers. This is the plainer version: who each one suits. Where another supplier offers something we do not, we say so.

Realtime

Computime, installed or UK hosted

Choose Realtime if you run complex shift patterns, want to cost labour against jobs, and want clocking, rostering, access control and fire roll call on one system. It runs on your own server or is hosted by us in the UK, and it integrates directly with Sage payroll.

Syncro Connect

Computime, cloud

Choose Syncro Connect if you want cloud software with published pricing: £2 per employee per month, or £3 with the GPS mobile app, excl. VAT. It suits factories that clock on terminals but also have staff working away from site. It does not do job costing, and rostering arrives later in 2026, so if you need either now, look at Realtime.

Ceequel

ELF Productivity

Choose Ceequel if you want machine running and downtime data alongside labour, so you can see machine efficiency and the causes of lost production in the same system as attendance. We do not read data from production machines. In most other respects Ceequel covers similar ground to Realtime.

OneAdvanced

Formerly Mitrefinch

Choose OneAdvanced if you want payroll run inside the same system as time and attendance, with one supplier for both. We send hours to your payroll software rather than running payroll ourselves.

ClockRite

Desktop, cloud and enterprise

Choose ClockRite if you want to buy the software once, with no ongoing subscription. Their desktop software comes with their terminals. Our software is a subscription, with terminals bought outright.

Time Systems UK

Terminals sold online

Choose Time Systems UK if you want to buy terminals from an online shop and set them up yourself. Our hardware is specified, installed and supported by our Leeds team, so it is quoted rather than sold at a checkout.

Permatek

Installed and configured

We could not find anything on Permatek’s website that we do not also offer. If they are on your shortlist alongside us, compare us on service, price and how well each system handles one of your real weeks.

Clockify

Free time tracking

Choose Clockify if you need free time tracking for desk and project work and do not need clocking terminals on a factory floor. It is a different kind of product from ours, and for that job it is a fair choice.

Whichever suppliers make your shortlist, put the six questions above to each of them, including us. Book a demo and bring one of your awkward weeks with you.

Choosing a factory time and attendance system: FAQs

The questions manufacturers ask us when they are comparing suppliers. If yours is not here, call the Leeds team on 0113 350 9043.

What is the best time and attendance system for a UK factory?
There is no single best system; the right one depends on your shift patterns, whether you need to cost labour against jobs, and how you want to pay. If you need machine downtime data, look at Ceequel. If you want payroll in the same system, look at OneAdvanced. If you want to buy the software once with no subscription, look at ClockRite. For complex shifts with job costing, access control and fire roll call on one system, Realtime is built for that, and Syncro Connect suits factories that want cloud software with published pricing.
How much does a time and attendance system for a factory cost?
Expect two costs: the software, usually paid monthly or yearly, and the clocking terminals, usually bought once. Syncro Connect is £2 per employee per month, or £3 with the GPS mobile app, and our terminals run from £395 to £995, all excl. VAT. As an example, 80 staff on Syncro Connect with two RFID terminals comes to £1,920 a year for the software plus £790 once for the hardware. Realtime is priced around your site, so call us for a figure. Among other suppliers, ClockRite publishes terminals from £215 with desktop software included, and OneAdvanced quotes individually.
Should a factory choose cloud or installed software?
Neither is better in general; it comes down to who you want looking after the system. With cloud software there is no server to maintain and the supplier handles updates. With installed software the data sits on your own server, which some IT teams prefer. Realtime can be installed on your server or hosted by us in the UK, and Syncro Connect is cloud only. Our comparison of cloud and installed software covers the trade-offs in more detail.
Is fingerprint or face recognition better on a factory floor?
Face recognition usually works better, because fingerprint readers struggle with hands that are wet, gloved or worn from manual work. RFID cards and fobs are the cheapest option but can be handed to a colleague. If you choose either biometric option, you are processing special category data under UK GDPR, and the ICO’s guidance expects staff who object to be offered an alternative such as a card. Our clocking hardware page compares the options.
Can time and attendance software handle continental shifts and nights that cross midnight?
Most systems built for manufacturing claim to, so the useful question is how well, and the only reliable test is your own data. Ask every supplier, including us, to run one of your real, awkward weeks through their system during the demo: a night shift crossing midnight, a bank holiday, someone swapping shifts. Watch whether the hours land on the right day and the premiums apply without anyone editing the timesheet.
Do we need job costing?
Only if you need to know what a job or works order actually cost in labour, for example to check quotes against reality. Job clocking means staff clock on and off each job as well as in and out of work, which is extra effort on the floor, so do not buy it unless someone will use the numbers. Realtime includes job costing; Syncro Connect does not.
Will a time and attendance system work with our payroll?
Almost certainly, but ask whether it is a direct integration or a file export, because they suit different teams. Realtime integrates directly with Sage. Syncro Connect exports for Sage, Pegasus and QuickBooks. Neither runs payroll for you; if you want payroll and time and attendance from one supplier, OneAdvanced offers both.
Can we keep our existing clocking terminals if we switch supplier?
Sometimes, but do not assume so, because clocking terminals are often tied to their supplier’s software. Our own clocking terminals are designed to work with our software, while our door readers use the standard Wiegand format and connect to most access control panels. Tell us what you have and we will tell you honestly whether it will work before you commit to anything.
Does time and attendance software make us compliant with the Working Time Regulations?
Not by itself, and we would be wary of any supplier who says otherwise. What the software gives you is the record: hours worked against the 48 hour weekly limit, rest breaks between shifts, and who has opted out. Acting on those records, by adjusting rotas or stopping excess overtime, is still down to you.
Will staff resent a new clocking system?
Some may at first, and it is usually about feeling watched rather than about clocking itself. Accurate records protect staff too, because they are what make sure every hour of overtime gets paid. Explain plainly what is recorded and what is not before you switch on, and offer a card to anyone who objects to biometrics. Resistance usually fades after the first payday with no disputes.
What contract will we be tied into?
Check this with every supplier before you sign, because notice periods are the most common reason businesses cannot switch when they want to. Syncro Connect can be billed monthly, with one month’s notice. Realtime has a three month minimum renewal term and a 90 day notice period. You can try Syncro Connect free with no card required, or book a demo of either system.
Why does this page recommend other suppliers?
Because a factory that buys our system for something it does not do becomes an unhappy customer, and that costs everyone more than a lost sale. We only point to another supplier where they offer something we do not, and everything we say about them comes from their own websites. If you supply one of these systems and something here is wrong, call us and we will correct it.
