What the management portal does

The management portal is a single dashboard where a manager sees their team’s attendance as it stands, approves holiday and overtime requests, corrects missed or wrong clockings, and produces the reports payroll needs. Everything that would otherwise arrive as an email, a phone call or a spreadsheet at the end of the month appears in one place, flagged, while it can still be dealt with quickly.

What a manager does in the portal

  1. Open the dashboard

Who is on site, who is late, who is absent and what is waiting for a decision, on one screen rather than four.

  2. Approve what is pending

Holiday requests and overtime approved in one click, and the employee sees the answer straight away rather than chasing.

  3. Fix the exceptions

Missed clockings, someone who forgot to clock out, a shift that does not look right. Flagged for you rather than found by payroll a fortnight later.

  4. Set up new starters

Create the employee record, assign a role and a shift pattern, and they are on the system before their first day.

  5. Run the reports

Hours worked, attendance summaries, lateness and absence patterns, built from the records rather than assembled by hand.

  6. Send it to payroll

Approved hours go straight into payroll, with direct Sage integration on Realtime and exports for Pegasus and QuickBooks. No re-keying.

Built for managers, not just admin

What separates a management portal from a clocking system is that it tells you what needs your attention instead of leaving you to find it.

Exceptions, not everything

A manager with forty staff cannot check forty records. The portal shows only what looks wrong: a missed clock in, someone who never clocked out, lateness against a shift, unplanned absence, overtime that needs authorising. You deal with the handful that need you and leave the rest alone.

Reports you build yourself

Rather than choosing from a fixed list, you build the report you actually want, combining hours, holidays, exceptions and employee details. Once it is set up it can be run again whenever you need it, which is usually the point at which people stop exporting to a spreadsheet.

Management portal vs spreadsheets

Most businesses start with a spreadsheet, and it works until it does not. Here is where the difference shows.

Comparing spreadsheet-based workforce admin with the Computime Realtime management portal
What you are doing Spreadsheets Management portal
Getting the hours in Typed up from timesheets Recorded at the clocking
Spotting a missed clocking When payroll queries it Flagged the same day
Knowing who is in today Ask someone On the dashboard
Approving holiday Email, then update the sheet One click, balance updates
Producing a report Built by hand each time Set up once, run whenever
Proving what happened Whatever version survived Audit trail of every change

Why choose Computime

We have been building workforce systems in Leeds since 1989. Not a startup with a clocking app, and not a global platform where you are account number 40,000.

The portal is part of a system, not a product on its own

The management portal works from the same records as your clocking terminals, absence management and fire roll call. A manager approving holiday and a payroll clerk running an export are looking at one set of data, so there is nothing to reconcile between systems.

Direct Sage Payroll integration

Approved hours pass directly into Sage from Realtime, with exports for Pegasus and QuickBooks. This is a Realtime feature specifically; our cloud product exports for all three rather than integrating directly, and we will tell you which suits you rather than which costs more.

You build your own reports

Not a fixed menu of reports somebody else decided you needed. You build what you want from hours, absence, exceptions and employee data, save it, and run it again whenever. We will help you set the first ones up.

You speak to the people who built it

Around fifteen people in Leeds, family run, with the software written in house. When something is wrong the person who answers can usually do something about it, which is not true of most support desks.

Access by department, not all or nothing

A supervisor sees their own team rather than the whole business. That matters practically, because managers do not want to wade through 400 people, and it matters under UK GDPR, since employment records should only be visible to those who need them.

Your data stays in the UK

Realtime runs on your own server or our UK hosted platform, with access logged and restricted to named users. Our data security page sets out exactly who can reach what.

What our customers say

“

We are really pleased with our Computime solution. Introducing this system means that payroll is now processed accurately and efficiently, helping to boost morale both for our head office staff and our field teams. Real time data means we know where our employees are, allowing us to operate more efficiently.

James Dunlop

Financial Manager, Landworth Electrics

“

We are very pleased with the smooth implementation. Computime worked very hard to make sure installation was completed within the time frame and with minimum disruption. The in-depth training allowed us to focus on production and keeping our employees safe at work while ensuring efficiency.

Clare Barker

HR Manager, Wholebake Limited

“

I was tasked with sourcing a computerised time and attendance solution to replace our manual clocking system. The Computime website contained all the information I needed, making the decision straightforward. The software proved easy to use and the helpdesk was very helpful and friendly. Computime have exceeded all of our expectations and objectives. I would definitely recommend them.

Management portal FAQs

What managers ask before they start using a dashboard instead of a spreadsheet. If yours is not here, call the Leeds team on 0113 350 9043.

What is a management portal?
A management portal is a dashboard where a line manager or supervisor handles their team’s time and attendance: seeing who is in, approving holiday and overtime, correcting missed clockings and producing reports. It differs from the admin side of a system in that it shows one manager only what concerns their people, and it differs from an employee portal in that it is about a team rather than an individual record.
Can managers see team status without a full admin login?
Yes, and this is the point of having a separate manager view. A supervisor gets access to their own department rather than administrator rights over the whole system, so they can approve, amend and report on their team without being able to change payroll rules or see other departments. It keeps the system safe from well-meaning mistakes and keeps employment records visible only to those who need them, which is what UK GDPR expects.
How does it stop managers chasing timesheets?
The hours are already there. Because staff clock in and out, the timesheet builds itself, and the manager’s job changes from collecting information to checking the handful of records that look wrong. Instead of emailing people for their hours at month end, you deal with three exceptions on the day they happen. That is usually the difference people notice first.
What counts as an exception?
Anything that does not match what was expected: a missing clock in or out, someone starting late or finishing early against their shift, an absence nobody booked, hours that run into overtime, or a clocking that produced an implausible shift length. You decide what gets flagged and how sensitive the thresholds are, because a business with flexible start times wants different rules from a factory with a fixed hooter.
Can a manager change someone’s clocking record?
Yes, and every change is recorded with who made it and when. That matters more than it sounds. Someone has to be able to correct a genuinely missed clocking, but a record that can be quietly altered is worth nothing in a dispute. The audit trail is what makes an amended timesheet defensible, and it is the thing a spreadsheet can never give you.
Can we restrict managers to their own department?
Yes. Access is set by department, so a supervisor sees their own team and nobody else’s, while administrators see everything. On a site of a few hundred people this is practical as much as anything: a manager does not want to scroll past 380 names to find their twelve.
What reports can managers produce?
You build your own rather than picking from a fixed list, combining hours worked, absence, lateness, exceptions and employee details, then save the report and run it again whenever you need it. Common ones are hours for payroll, absence by department, lateness over a period and overtime by cost centre. We will set up the first few with you.
Is the management portal the same as the employee portal?
No, they are two sides of the same system. The employee web portal is where staff request holiday and check their own hours. The management portal is where those requests arrive, where exceptions are dealt with and where reports are produced. Both are part of Realtime.
Do managers need training to use it?
A short session covers it, and we do that as part of setup. Approving holiday and fixing a clocking are straightforward; the part worth walking through is the reporting, because people who are never shown the report builder tend to export everything to a spreadsheet out of habit and lose most of the benefit.
Does it work on a phone or tablet?
It runs in a browser, so it works on a tablet and on a phone at a push, though a dashboard covering a whole team is more comfortable on a proper screen. If you want managers approving holiday from their phone as a matter of course, the Syncro Connect app is built for that and is the better fit.
How does it get hours into payroll?
Approved hours pass directly into Sage from Realtime, and export as a standard file for Pegasus and QuickBooks. Nothing is re-keyed, which removes the commonest source of payroll error: someone typing a number from one screen into another at half past four on a Friday.
