Managing Custom Visitor Questions

Welcome to the Realtime Visitor App Configuration Guide. Follow the steps below to add, edit, or delete custom questions that visitors will be prompted to answer during check-in.

Step 1: Navigate to Visitor App Questions

  1. Open Realtime and log in with your administrator credentials
  2. On the left-hand menu, click on:

– Settings → Configuration Settings → Visitor App Questions

Step 2: View Existing Questions

  • The top section will display your current list of visitor questions, if any have been added previously.

Step 3: Add a New Question

  1. Scroll to the bottom of the question section and click ‘New Question’.
  2. Fill in the following fields:

– Group Number: Assign a numeric group to help organize related questions.

– Editor Type: Choose how the visitor will answer the question:

  • Checkbox
  • Text
  • Date
  • Selection (dropdown)
  • Image (for uploads like IDs)

– Question Text: Type the actual question you’d like to ask.

– Validity Days: Set the number of days the answer remains valid before the visitor must respond again.

  1. Once complete, click ‘Apply’.
  2. Your new question will appear in the question list.

Step 4: Edit a Question

  1. Select the question you want to modify from the list.
  2. Click ‘Edit’.
  3. Update any fields (Group Number, Editor Type, Question Text, Validity Days).
  4. Click ‘Apply’ to save your changes.

Step 5: Delete a Question

  1. Click the question you want to remove.
  2. Select ‘Delete’.
  3. Confirm and click ‘Apply’ to finalize the deletion.
  4. You can check the Visitor App to ensure the question is no longer displayed.

Final Notes

    • Always click ‘Apply’ after making any changes to ensure they are saved.
    • Use the Visitor App to preview and validate the experience.

Adding Camera Permission To Visitor App

App Request:

Typically, when you first open an app and it needs camera access, it will pop up a request asking for your permission. This is the easiest way to grant it, as it’s a direct prompt. If you’ve previously denied it, you’ll need to use the methods below.

Android Version:

The exact wording and layout of the menus might vary slightly depending on your Samsung phone model and the version of Android (One UI) it’s running. However, the core steps (Settings > Apps > App Name > Permissions) remain consistent.

 App Functionality:

Be aware that if you deny a crucial permission like camera access to an app that relies heavily on it (like a video call app or a photo editor), the app might not function correctly.

Method 1: Granting Permission through App Settings (Most Common)

  1. Open Settings: Swipe down from the top of your screen to open the Quick Settings panel, then tap the gear icon (Settings).
  2. Navigate to Apps: Scroll down and tap on “Apps” (or “Applications” or “Apps & notifications,” depending on your Android version).
  3. Find the “Visitors” App: Scroll through the list of installed apps until you find “Visitors” and tap on it. You can also use the search bar at the top if available.
  4. Tap “Permissions”: On the app info page, you’ll see an option for “Permissions.” Tap on it.
  5. Find “Camera”: Look for “Camera” in the list of permissions.
    • If it’s under an “Allowed” section, it already has permission.
    • If it’s under a “Not Allowed” or “Denied” section, tap on it.
  6. Select Permission Level: You’ll usually have a few options:
    • Allow only while using the app: (Recommended for most apps) The app can only use the camera when you have the app open and are actively using it.
    • Ask every time: The app will prompt you for camera access each time you open it or try to use a camera feature.
    • Don’t allow: The app will never be able to use the camera.
    • Allow (older Android versions): Simply grants full access. Choose “Allow only while using the app” or “Allow” to grant camera access.
    • 7.Verify: Go back to the Permissions screen for “Visitors,” and you should see “Camera” listed under the “Allowed” section.

Method 2: Granting Permission through Permission Manager (Android 10 and above)

  1. Open Settings: Swipe down from the top of your screen and tap the gear icon (Settings).
  2. Navigate to Privacy/Security: Scroll down and tap on “Security and privacy” (or just “Privacy” on some older models).
  3. Tap “Permission manager”: This will show you a list of different permission categories (e.g., Camera, Microphone, Location, Contacts).
  4. Select “Camera”: Tap on “Camera.”
  5. Find “Visitors”: You’ll see two sections: “Allowed” and “Not allowed.” Scroll down to the “Not allowed” section and find “Visitors.”
  6. Tap “Visitors” and Choose Permission: Tap on the “Visitors” app, then select “Allow only while using the app” or “Allow”.

Visitor Management In RealTime

RealTime View:

The RealTime Visitors module provides comprehensive tools for managing your visitors. When you open the module, you’ll first see a list of visitors scheduled for the current workweek. You can adjust the displayed dates by modifying the filter option located in the top-left corner of the screen.

 Adding A Visitor:

To register a new visitor, click the “New” button located in the bottom-right corner of the screen. This will open a form where you can enter the visitor’s details.

First, select the visitor type:

  • Reoccurring Visitor – for individuals who frequently visit the site and whose details will be stored for future use.

  • Visitor – for one-time or infrequent guests.

  • Self-Service Visitor – for guests who will check in using the self-service tablet application upon arrival.

Next, fill in the required fields, including Forename, Surname, Company Name, Email Address, Sign-in Password (if applicable), Vehicle Registration, Contract Number, Host, Site, Reason for Visit, and Due Date.

You may also upload a photo or take a picture using a connected webcam. Once all details are entered, you can send an email notification to both the host and the visitor to confirm the visit details.

Editing And Deleting Visitor:

Similar to the process described in Section 2.2, you can select a visitor from the left-hand menu and click the Edit button located in the bottom-left corner to modify their details. The visitor highlighted in orange indicates the individual currently selected for editing.

You can also use the search bar at the top of the screen to quickly find a specific visitor.

If you wish to remove a visitor, click the Delete button. Please note that deleting a visitor will permanently erase all associated historical data, and this action cannot be undone

Visitors Arriving And Leaving:

When a visitor arrives on-site, you can manually register their presence if they are not using any hardware or self-service application. To do this, click the “Check Visitor In” button on their visitor record.

This action will update the visitor’s status and change the button to “Check Out.” The updated status will also appear in the Attendance Panel (see the RealTime Guide) and within any fire roll call systems you have configured.

If a visitor does not complete the “Check Out” process, the system will automatically log them out for fire safety purposes, and a notification will be added to their record.

Visitor Pass:

You can only print a visitor pass if a visitor printer is installed. To print the label, click the “Print Visitor Pass” button located in the bottom-right corner of the screen. The specific material it prints on (card, sticker, or paper) is based on your printer’s configuration.

Access Control:

If you use our Access Control software and devices, you must assign the visitor to an access group in the Access Information tab. (Refer to the Access Control guide for details on configuring these groups.)

The system will automatically generate a User ID for the visitor. You can then assign a Card/Fob, Password, Fingerprint, or Face Template, depending on the access control devices you have. Remember, you can modify any of this information later using the Edit button in the bottom-right corner.

Viewing Times:

Use the Visit Times tab to view a visitor’s duration and history. This section shows the complete check-in and check-out times and dates for all visitors, along with an icon indicating the method used:

  • Person Icon: Check-in/out was completed manually.
  • Phone Icon: Check-in/out was done through the visitor application.
  • Clock Icon: Check-in/out used installed hardware (e.g., a time and attendance machine or an access control device).
